Upon installation RoutXpress™ will find all the network
and local printers on your network and begin building a
database of the network printing. It will use the database
of all the print activity to produce reports that the Administrator
can view. In some companies this can be quite a revelation.
The number of prints going to high cost per page printers
can be outrageous.
Print Assessment is a valuable tool that the company Administrator
can use to correctly configure their network, and to guide
the decisions on the printing equipment they will purchase
in the future.
RoutXpress™ will accurately collect all meter reads on
your equipment, copy, print, scan and fax. It will also
provide all of the copies printed on the printers without
meters, i.e. Inkjets, etc. It can even email this information
to multiple recipients, such as the company’s printer maintenance
supplier and the accounting department.
A printer assessment starts with discovering all of the
imaging devices at a company location, then followings on
with improvement recommendations. RoutXpress™ discovers
the devices at installation and over the first several days
of operations. RoutXpress™ gathers all of the device activity
in a sequel database. This data is gathered in monthly tables
that are stored for future reference. The Accounting Module,
and the Optimizer can then analyze the device data.
The first benefit of doing a Print Assessment occurs when
you let the work force know that you are going to do an
assessment and will be monitoring the print jobs. RoutXpress™
identifies all devices on a network or locally connected
on Windows desktops. RoutXpress identifies all the devices.
The local printers attached directly to a Windows computer
are identified from the spooler client assigned to the Work
Station. Since a preponderance of the printer’s are often
local printers, gathering data from the local printers is
critical.
A full printer assessment involves:
· Finding all of the printers and walk up copiers, network
and local
· Recording the number of the pages printed on each printer.
It’s also important to know the time each job is printed
and the delay in printing.
· Recording the number of pages printed on walk up devices.
· Having a list of the device problems over the assessment
period.
· Recording the toner activity over the assessment period.
With this information a cost of the total printing solution
can be calculated. The Accounting Modules can sort and summarize
this data by users, printer, department, and customer ID.
The names of all documents printed can be retained, or not
depending on settings. If job names are retained, a review
of the printing for non-business jobs is possible.
The RoutXpress Optimizer allows the virtual movement of
devices on the network to show improved cost and delay performances.
For example, if we move this low cost per page printer from
this low use area to a busy network work area, and if we
move the older higher cost printer to the low volume area,
a lower network printing cost will result. And we can try
this with just a few clicks of the mouse. After we have
optimized the virtual location of the printers, a printer
map is generated and the physical changes can be made.
When moving machines keep in mind that tray size and monthly
volumes also come into play. For example, don’t put a printer
with a 250-page tray in a high volume location.
After the current topography is optimized new equipment
should be considered. Using the routing and pooling capability
of RoutXpress™, place new lower cost equipment in the highest
volume locations and move the existing machines to lower
volume locations or use them as overflow or backup systems.
